Position Overview
We are seeking a detail-oriented, proactive, outgoing Front Desk Coordinator to support our team with day-to-day administrative tasks and office operations. This role is essential in helping the organization run smoothly and efficiently, providing support to multiple departments and ensuring professional communication and organization.
 
Essential Duties and Responsibilities
  • Serve as the first point of contact for all visitors and vendors at the front entrance of the building
  • Manage calendars, schedule meetings, and coordinate appointments
  • Prepare, proofread, and edit correspondence, reports, and presentations
  • Maintain organized filing systems—both electronic and physical
  • Assist with travel arrangements and expense reporting
  • Order and stock office/cafe supplies and help manage inventory
  • Handle incoming calls and emails in a timely and professional manner
  • Provide general support to the executive team and other departments as needed
  • Help coordinate company events, meetings and luncheons, which could include set-up and clean-up
  • Assist in ensuring the office spaces are maintained and tidy-includes running/emptying dishwasher, cleaning small messes, etc.
  • Other duties as assigned
Qualifications
  • 2+ years of experience in an administrative or office support role
  • Strong communication and interpersonal skills
  • Excellent time management and organizational skills
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint)
  • Ability to multitask and prioritize effectively
  • High school diploma or equivalent required; Associate’s or Bachelor’s degree a plus

 
Physical Demands
 
  • Prolonged periods of sitting at a desk and working on a computer
  • Occasionally required to stand, walk, bend, or reach
  • Must be able to lift up to 50 pounds at times (e.g., office supplies, packages, water jugs)
  • Ability to use standard office equipment such as computers, printers, scanners, and telephones
  • May need to move around the office or building for meetings or errands
